Job Requirements:

  • Willingness and ability to work effectively with a wide variety of people
  • University Degree, or alternative 2 year experience in logistics if lower qualifications.
  • Previous NGO experience added advantage.
  • Good in English language beside to Arabic and Kurdish.
  • Ability to be pay attention to details.
  • excellent command on excel and word miscrosoft operating system.
  • Ability to work as part of a team and coordinate with project personnel.
  • Computer literate and strong organizational skills.

Job Description:

1- Fleet Management:

  • Focal point for fleet management.
  • Receiving weekly movement plan and do the driver/car allocation in close coordination with security team.
  • Ensure that all vehicles have log books, which are completed by driver and the traveler for every movement they makes using RI rented vehicles.
  • Complete the checklist for vehicle and driver assessment that includes but not limited to driver valid license, spare tire, first aid kits, emergency tool kit, emergency contact number displayed/kept in the car and regular vehicle checks prior to any journey. .
  • Maintain a file on each vehicle/equipment’s which should then include all the specifications such as vehicle details (registration, insurances, user’s manual, repairs/maintenance record, fuel consumption record, accident reports etc) and equipment issued to particular vehicle (first aid kits, fire extinguishers, tools, communications equipment ect whatever applicable in NES context.)
  • Ensures that all vehicles are used in accordance with RI policy and procedure. Drivers must be educated on basic safety and security measures for safe driving and mainaiting the vehicles in good condition at all time. Prepare all required reports related to fleet management.

2- Administration & Facilities :

  • Responsible for upkeeping, maintaining and contract management of RI leased and owned priporites across all location in NES.
  • Making sure that need assemsnets for RI facilities are carried out and procurement requests are initiated for any improvement or maintaining the facilities.
  • Doing market assessment and supplier data base update by coordination with procuremenmt staff .
  • Responsible for updating lease and fleet tracker and service contracts management.
  • liaise with field office SCO staff to follow up on administrative and facilities managmement and related task with technical support.
  • Making sure that relvent reports are pepared and shared with Derek office as needed and or the dealine are set by SCO officer.
  • Follow up with admin staff ,handiman and cleaners to make sure that all supplies in place, tracked and monitored  with consumption analysis.
  • Follow up with SCO staff for setting up and preparing new locations/facility when need.
  • Working with IT assistant for harging credits for communication equipment .
  • Responsible for visitors accommodation and travel arrangement.
  • Any other duties relating to the nature of the job as assigned by Log Coo/manager.

3-Generator:

  • Follow up generators needs and raising PRs accordingly.
  • Prepare and update trackers , maintenance/serviceand fuel consumption reports for each generators used in the mission. all report must be recoded and separate files are created for each location.
  • Make sure that the generator is operated and kept in safe way .
  • Monthly reporting.

4-Other tasks:

  • Monthly/weekly logistics reports to log Coordinator .
  • Field visitis .
  • Participating in some procurements and tenders for logistics inputs when need.
  • Any other duties /tasks assigned by Log Coor and manager.
