Job Requirements:

  • University degree in Engineering, or Business, administration, or other relevant subjects is preferred.
  • At least 1-2 years of work experience in relevant fields, preferably with I/NGOs
  • Solid knowledge and understanding of the Syrian context.
  • Willingness to travel regularly to field sites.
  • Good English and Arabic required
  • Good computer competency with word and Excel

Key Working Relationships:

Position Reports to:  ERD Admin Officer

الوصف الوظيفي:

  • The Admin Assistant will support the ERD Program by providing administrative and programmatic support.

Major Responsibilities:

  • Facilitate the raising, follow up, and documentation of purchase requests from program staff to supply chain and finance.
  • Following up the PR issue on the BVA and fixing and contact with Admin BVA after inform the related staff.
  • Following up on status of procurements of program supplies and their delivery.
  • Manage all procurement for the ERD through working with SC ensuring timely availability of all supplies materials.
  • Track all procurement and payments raised by the ERD teams, sending a comprehensive tracker to Supervisor at the end of each Week.
  • Working on Following and preparation all documents related to cash advance – Petty Cash.
  • Preparing IWs Papers and payment requests for all IWs working under authority of the ERD.
  • Collaborate with supply chain to research market prices for the preparation of Purchase requests.
  • Support the raising and liquidation of payments for program requirements.
  • Support with the preparation and organization of trainings, workshops, and other events.
  • Collate the weekly movement plan for submission to the Transport Officer.
  • Working on documentation that all ERD papers are archived in soft and hard copy.
  • Manage and document the receipt, handling, storage, release and reporting of goods through the ERD warehouse(s) and conducting weekly inventory.
  • Ensure the maintenance of ERD warehouse building(s), fittings and equipment.
  • Reception and log in of visitors.
  • Receive all applications coming to the center and communicate more about the program
  • Supports in phone calls.
  • Manage the keys of all training rooms and meeting rooms.
  • Understand and implement standard Organization inventory management policies and procedures.
  • Undertake any other duties as may be required from time to time.
