About you

To be successful in this role you must have:

Education and experience:

  • Bachelor of administration and/or equivalent professional experience in logistics & fleet field.

Professional Competencies Required:

  • previous experience as fleet officer or tracking operator.
  • Degree Title administration/ logistics & fleet field
  • 3 – 5 years’ experience in this field
  • Experience in working with International NGO`s

Personal Competencies Required:

  • Computer and software skills: In addition to email, instant messaging, spreadsheet, and word processing apps, they are familiar with fleet-specific programs like tracking software.
  • Good knowledge of vehicle systems, mechanics, and technology sufficiently to authorize repairs and accurately evaluate the work of employees involved in maintenance and repairs.
  • Good knowledge of Maps, traffic rules, applicable laws and regulations and safety and Security rules.

We offer

The organization will offer the successful applicant a until 31st Dec-20 contract, renewable dependent on both funding and performance.

And be willing and able to work in  Amuda, Syrian Arab Republic.

Salary and conditions will be according to salary grid. Minimum 989 USD/month + (allowances).

Job Description:

  1. Fleet Management:
  • Ensure the respect of procedures concerning the fleet management (Log book, maintenance, regular check, security, correct use of the vehicle, validation of new vehicles…);
  • Ensure the respect of Procedures for all the equipment assigned to Vehicles / Drivers;
  • Responsible for the Fleet Management Database and keep updating the information related to vehicles and movements;

*  Ensure that all documentation is available in each vehicle

*  Collect and ensure the reconciliation of all documents (logbook, maintenance, …)

*  Follow-up fuel consumption

*  Responsible for the Data base updating

  • Supervise and manage the Drivers team:

*  Contract negotiation, creation and follow up.

*  Ensure the training/ briefing of the drivers on a regular basis in order to organize regular meeting to remind the security rules.

*  Assure the respect of internal rules as well as area traffic regulation

*  Assure the respect to the fleet management procedures and policies

*  Establish a weekly planning for duty drivers

*  Ensure, with the support of the Manager, to maintain a good relationship between the drivers and others departments

*  Act as focal point for the driver’s requests.

  1. Movement Management:

* Amuda Base Movement:

–  Act as focal point for movements requests

– Responsible of the consolidation of the movements plan and keep update the movements table

–  Communicate to all departments the weekly movement table

– Assure that drivers have the necessary equipment (Satphone, GPS) fully operational for each trip.

* Interbases movement:

– Act as focal point for movements requests

– Responsible of the consolidation of the movements plan and keep update the movements table

– Communicate to all departments the weekly movement table

–  Assure that drivers have the necessary equipment (Satphone, GPS) fully operational for each trip.

* Cross Border movement

–  Support the Base Logistics Manager for all cross-border movement in link with Iraq Mission.

–  Support the Base Logistics Manager for all cross-border movement regarding authorization letters.

  1. GPS Tracking Management:

*  Procedures:

– Ensure a proper training of drivers and teams on communication rules for each movement:

  • GPS utilization
  • Tracking points

– Ensure that the dispatch of communication equipment is followed according the security guidelines (GPS/Satphone/ phones)

–  Ensure that each communication equipment is always on good working conditions (batteries, random checks)

*  Movement follow up:

–  Ensure the reception of all tracking message, and GPS signal

–  Follow all the movement of the teams

–  Closed link with the context manager and security manager for any situation which can involve the security of the team during the movement

  1. Reporting:

–  Ensure the reporting of all Fleet information on monthly basis to the Base Logistics Manager (fleet database, payment follow up, narrative      monthly report …).

–  Any other duties related to fleet management and upon the request of Line Manager
