متطلبات العمل:

  • Responsible for the updated and accuracy of HR data for all offices in NES according to the minimum requirement in both hardcopies and digital file.
  • Ensure high level of confidentiality of staff personal data and other sensitive HR information by putting appropriate control mechanism for document protection.
  • All staff personal files in hardcopies and digital file must be completed according to the required checklist and missing information document must be reported immediately.
  • Conduct regular monitoring to ensure all data is filed, archived or destroyed as needed.
  • Ensure all digital files are properly organized in the shared drive with clear title of folders and subfolders
  • Send report on update of employee database, staff contact list and staff leave balance to the HR Manager on regular basis.
  • Handle proper receiving and compiling information sent from other NES offices properly using waybill for transporting document in hardcopies.
  • Liaise with HR Assistant in Al-Hasakeh office for follow up on any changes of staff data to ensure most updated record information.
  • Ensure that all Recruitment Requisition Forms (RRF) are appropriately approved including budget verification from Finance, the job description is attached and information in the form are correct.
  • Develop advertisement and manage vacancy announcement under liaison with hiring manager for alternative places/ locations to attract qualified candidates from different background, religions and ethnicity to apply including women in line with equal opportunity principles.
  • Conduct longlisting and send recommended applicants CVs to hiring manager for shortlisting process according to standard procedure
  • Process candidates’ background check according to recruitment policy of requesting references and do Bridger checks.
  • Assist hiring manager and panel members in defining selection criteria for the shortlisting and compile data for the recommendation of selecting best candidates to be interviewed.
  • Assist hiring manager for the development of interview assessment using competency-based questions.
  • Facilitate and schedule interview session and written test as required and act as a point of contact for candidates for scheduling and other administrative arrangements.
  • Compile all interview assessments from all panel members to be reviewed by the hiring manager and used as basis to select best candidate to be offered the job.
  • Ensure all document pertaining to recruitment for every position are complete and submitted to Derik office for proper filing which include RRF, CVs, shortlisting, email communication, interview assessment, etc.
  • Ensure HR assistant is managing Recruitment process for TW and operational grade vacancies appropriately and abiding with policies
  • As a point of contact for advice and support to all staff in NES office on all aspects of HR policies and procedures, ensuring staff are aware of their entitlements and procedures that govern the administration of these entitlements.
  • Ensure all contractual documentation is prepared and issued to staff on time in line with agreed national terms and conditions prior starting the work
  • Ensure every newly hired staff sign the code of conduct, receive the job description, copy of employment contract and list of benefit package.
  • Ensure that all staff will be familiar with the International code of conduct and other relevant procedures and any infringements of these will be reported to line managers following the agreed procedures.
  • Ensure new hired staff received induction matrix along with guidance to complete in within 30 days, provide support as needed.
  • Liaise with the Administration to support the new staff with necessary preparation of office desk, laptop, stationeries, mobile phone, vendor ID , etc.
  • Responsible for managing monthly payroll report of all NES regular national employees don fixed term contract and liaise with Finance for salary payment process.
  • Liaise with HR Assistant in Al-Hasakeh office for follow up on any changes of staff data to ensure most updated record information.
  • Responsible for compiling all PARs (Personal Activity Report) of NES staff both national and international and act as a focal point for submission process to Finance in Amman on monthly basis. in charge to provide required reports and staff information as needed and requested.
  • Keep updated on staff contract end date and advise line managers with sufficient time for evaluation and consultation process.
  • As a point of contact for keeping all original rental contracts and lease agreement, ensure that they are correctly filed in both hardcopies and digital files.
  • Ensure all staff personal files E- copies are up-to-date scanned and uploaded on shared folder.
  • Responsible for completing staff clearances and off boarding process.
  • Update of staff leave balance.

الوصف الوظيفي:

  • Bachelor degree in a relevant field preferably management and in particular Human Resources
  • More than two years of experience in the same or similar position preferably in international NGO
  • Proven knowledge of HR processes, local legislation, procedure and best practices.
  • Ability to work in a systematic and organized manner, with high level of accuracy and attention to details
  • Excellent English communication skills both written and verbal in order to establish effective relationships with internal and external audiences
  • Proficiency in Arabic both speaking and writing
  • Excellent computing and numeracy skill, including knowledge of word-processing, spreadsheets for
  • database.
