Job Description:

  • Participating actively in reflections and discussions on the evolution of our programs in the mission, contributing with his/her background and experience to the improvement of overall performance, adapting it to the changing reality and context.
  • Participating in the collection of medical information (meetings, reports, articles, etc.) and data (epidemiological data, statistics, etc.).
  • Supporting project development by answering medical questions from the field, participating in briefings and debriefings of medical staff and replacing temporarily a member of the field team when necessary, in order to keep a smooth functioning of the projects.
  • In support of the medical coordinator, representing our in meetings or with different stakeholders. Assisting the MedCo in the stakeholder mapping (organigram of MoH, etc.)
  • Following-up patients referred by our field teams to the capital, organizing their transport, setting their further referral to reference facilities previously identified, doing follow-up on the treatment they receive and their evolution, and carrying out the administrative tasks associated, in order to keep special attention to most the complicated or sensitive cases.
  • In the absence of a Mission pharmacy manager, organizing and managing the central pharmacy in the Mission, managing medical stock, updating emergency boxes, preparing and dispatching medical orders requested by the field, and participating in drawing up international orders and organizing their reception, in order to ensure the efficiency and effectiveness during the whole supply process.
  • Ensuring that all staff using medical devices are qualified and trained. Ensuring cleaning and minor maintenance tasks are performed according to the protocols. Reporting any malfunction to the project biomedical service.
  • Carrying out medical follow-up of all our national and international staff in application of our staff health policies, supervising together with the administrator the medical expenses associated, in order to protect personnel’s health state while keeping close control to the resources required.
  • Carrying-out administrative, information gathering and data collection tasks, and regular reporting, in order to have updated and reliable information about the day-to-day activity in the project and support decision-taking.

On the request of the Medical Coordinator, carrying out extra tasks (one-off reinforcement for a field team, participation in an evaluation, etc.).

The North Syria mission currently has four operational projects: 2 through remote management, Kobane, and Raqqa and active management in Al Hol. There is a wide variation of medical activities in the mission of primary and secondary healthcare, inclusive of EPI, NCDs, Thalassaemia, and Mental health. Each project is at a different phase in as either emergency (Al Hol) or post conflict recovery.

In addition to the above, Key responsibilities will include:

  • Organize and manage the office pharmacy (including updating regularly all first aid kits for the cars and house) at the coordination level.
  • Staff health – primary focal point to support in staff health issues in Derik, including being the Staff Health Focal person for Erbil (managing remotely).
  • Together with the Medical Coordinator, review the costs and quality of Health care providers in Derik and provide a list of recommended service providers for our National staff health policy.
  • Review and report on the monthly reimbursement medical costs of staff health from the projects.
  • Together with the MTL’s and/or the National Staff Health Responsible of the different projects, review the Medical side of the Administration of the NSHP. Through updating the spreadsheets on a regular basis, how many staff/family members we have with chronic diseases (Inc. NCDs), or are pregnant. Ensure all (staff and family) is vaccinated following standard National EPI schedule.
  • Carry-out administrative (inventory and management of the medical operational library, archiving of data and medical reports, etc.), information gathering and data collection tasks, and elaborate regular reporting, in order to have updated and reliable information about the day-to-day activity in the project and support decision-taking.
  • Participate in the MTL meetings at project level and ensure sharing of the minutes within the mission.

Participate actively in the induction course for all the new staff, by preparing and keeping the General Medical briefing package updated and coordinate with the mission HR department, that all incoming expatriates receive a General Medical briefing.

  • Ensure the Syria mission SharePoint is up to date and filled with the latest updated mission Medical related documents.
  • Assist in daily translation for the Medical Coordinator attending external meetings or discussing with other members of the team
  • Translate medical documents (e.g. protocols, training materials) from English to Arabic (or vice

versa).

  • Support the Medical Coordinator in the preparation of project proposals and project reports for SCP/ACP.

Follow our remote management projects to ensure that activities are running smoothly, to ensure the data collection occurs and to be the focal point and report to the medical coordinator.
