Job Requirements:

  • Several years’ experience in relevant fields (Supply Chain, Logistics, Procurements)
  • Understanding of the local market, local legislation related to contracts, suppliers, contractors and customs clearance, business registration requirements
  • Previous NGO experience added advantage
  • Fluent in Arabic and Kurdish (oral and written)
  • Proficiency in English (oral and written)
  • Computer literacy: write reports and use forms, usage of Cloud System, experience with Microsoft Office Programs Excel and Word
  • Attention to details
  • Ability to work under pressure, independently, on multiple tasks with strict deadlines

Job Description:

To support our team in NES deployed for our project in Al Hol camp, we are looking for a Supply Chain Assistant, taking care of all procurements for the Field Hospital and working closely with the Supply Chain Manager as well as the Accountant.

Responsibilities and Tasks

  • Procurements

o        Ensure adherence to organizations Procurement Policies for all procurements conducted

o        Preparation of Procurement Requests and other relevant Procurement documents

       Assist other staff as needed to ensure timely completion of procurement requests and other documentation, including complete descriptions and specifications

       Assist SCM to prepare RFQ and tender documents, collect quotes from the vendors, assist to prepare bid analysis

o        Ensure proper documentation is up-to-date at all times

o        Coordinate with supplier and receiver for delivery of goods and services, collect receiving documents from the receiver and prepare GRN

o        Conduct/support market assessment and supplier data base updates in coordination with SCM

o        Prepare and participate in Evaluation Committees where required

  • Storage keeping

o        Ensure adherence to organizations Storage Policies for all non-pharmaceutical items

o        Responsible for proper documentation and reporting

o        Responsible for inventory keeping

  • Generators

o        Follow-up on generator needs in coordination with technicians

o        Ensure regular maintenance of generators

o        Coordinate timely fuel deliveries

  • Other tasks

o        Prepare relevant reports for SCM

o        Responsible for upkeeping, maintaining and contract management of leased and owned properties across all location in NES

o        Ensure needs assessments for facilities are carried out and procurement requests are initiated in a timely manner for any improvements or maintenance activities

o        Follow-up with admin staff, technicians and cleaners to make sure all supplies are in place, tracked and monitored

o        Follow-up with SCM for setting up and preparing new locations/facilities when required

o        Working with admin staff for charging credits for communication equipment

o        Previous experience in a logistics role beneficial

o        Weekly meeting/report with SCM

o        Any other duties/tasks as assigned by SCM
