Position Summary

The role of the Admin/HR Assistant is to support the implementation of human resources and administration function in Kisra Office of Syria North East (NES). The role is also responsible for the management of office facilities to encourage safe, healthy and conducive working environment for all staff.

 

Tasks and Responsibilities

  • Assist to ensure proper functioning and maintenance of the office and guesthouses.
  • Assist to track of office and guesthouse rental agreements.
  • Overseeing the housekeeping and maintenance of the offices and guest house, both inside and outside including monitoring the energy usage and consumption
  • Assist to ensure that the office and guesthouse are in compliance with health and environmental standards.
  • Assist to ensure that the office is run in a professional and responsible manner including hosting guests, and visitors, guesthouse booking system, cleaning, and tidiness of premises.
  • Managing and accounting petty cash to meet office petty supplies needs and maintenance with guidance from Finance and Admin team from Hasakeh
  • Liaise with IT and/or Logistics for event organization such as meeting, refreshments, and necessary equipment.
  • Assist to maintain appropriate filing systems for administrative correspondence relevant to office and guesthouses including rental and lease agreements.
  • Responsible for supplies required for the office and guesthouse including office stationeries and monitor the consumption and usage using proper stock record system.
  • Supervise housekeeping staff and ensure they have clear work standard requirements for the cleanliness and tidiness of the office that meet health and safety standards.
  • Proactively address performance issues through regular, constructive, and honest feedback and coaching.
  • Ensure that space, motivation, and incentives are provided to staff to develop and innovate.
  • In coordination with HR team, be part of the induction of new staff, Workers, TWs to the Sub Office.
  • Responsible for support and administration staff selection, recruitment and disciplinary systems and procedures.
  • Responsible for managing the recruitment file and sharing with the HR focal point for documentation.
  • In coordination with the HR team, manage the leaves for Kisra staff.
  • Assist in the process of Kisra sub office staff capacity building, performance management, identifying training needs and providing mentoring support where appropriate in liaison with other line managers.
  • Liaise with the HR team for proper handling of receiving and compiling information.
  • Support in job posting and placing vacancy announcements in approved locations.
  • Support the HR team on ways to create and maintain good working environment in the office and bring staff wellbeing problems or concerns to the management to address.
  • Manage the attendance sheet and coordinate with HR team.
  • Other tasks as requested by Line manager and technical line managers.

Required Qualification, Skills and Experience

  • Bachelor’s degree or higher in Administrative Management Diploma
  • Minimum of 1 year experience in Human Resources.
  • Minimum 1- year experience in Administration or Management.
  • Excellent negotiation and representation skills.
  • Ability to work comfortably with an ethnically diverse staff.
  • Working independently and cooperatively with team members is required.
  • Verg good English communication skills both written and verbal.
  • Proficiency in Arabic both speaking and writing.
  • Excellent knowledge of word-processing, spreadsheets for database.
