Job Requirements:

         Diploma/ Institute degree (or equivalent), preferably in supply chain, logistics, or related field.

EXPERIENCE and SKILLS:

  • Minimum 1 years of related professional experience in a similar post, extensive experience within administration, procurement, or logistical service.
  • Experience working with INGOs, in the development / humanitarian sector is preferred
  • Good experience in the usage of computers and office software packages (MS Word, Excel, etc.).
  • Experience working in Syria and knowledge of USAID procedure and guidelines (advantage)
  • Ability to speak and write effectively in English and Arabic and good in Kurdish.
  • Excellent interpersonal, organizational and communication skills.

Job Description:

Supply Chain Assistant will be responsible for receiving and unpacking parcels, completing relevant documentation, and managing stock. She/He should also record and report breakages, major spills, to supply chain officer. He will be responsible for effective supply chain support to program implementation, and site administration requirement.

–           Team member reporting to this post: Cleaner and generator operator

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

KEY AREAS OF ACCOUNTABLITY:

         Stock management, assist with receiving, unloading, counting, and stocking physical inventory in the warehouse.

         Ensure sharing monthly stock report on time to supervisor and program.

         Maintain safe and clean work environment by keeping shelves, inventory space and workstations neat; sweep and vacuum.

         Always organize warehouse and work area.

         Order new supplies in a timely manner, including pre-paid shipping packaging, stationary, tissue paper, boxes, etc.

         Make sure that purchased items fully match the required specifications and prepare documentations for acknowledging receipt by end users.

         Updating of all the trackers (GRN tracker – PR tracker – Payment Tracker – AP tracker).

         Prepare and maintain documentation in a way that they can be retrieved easily and satisfies the minimum paperwork requirements by the organization, including purchase order, bid analysis, good receipt report, services completion certificate, payment request, etc.

         Fleet management (Maintain vehicle log sheet for all vehicles, make sure that vehicle registration and driver license are up to date, and in case of any accident report will be prepared and as far as possible police report will be prepared too).

         Oversee the operations of the power generators, make sure that enough stock of diesel, lubricant and filters are always available that ensure the smooth operations of the generators.

         Follow up Generator reports on daily, weekly, and monthly consumptions and report it to the supervisors.

         Arrange local transportation for personnel travel within the country.

         Follow up the office supplies stock and make sure that enough stock of these items is stored and prepare the necessary documentations.

         Conduct the market surveys in the markets when needed and requested.

         Perform any other related duties as required.

ADDITIONAL JOB RESPONSIBILITIES:

         Work as backup for administrative officer when she/he is away from office and give all supply chain support required for Raqqa area whenever needed.

         The duties and responsibilities as set out above are not exhaustive and the role holder may be required to carry out additional duties within reasonableness of their level of skills and experience.
