Job Requirements:

  • Bachelor’s degree in social sciences, statistics or any other related field or equivalent to 2 years of work experience in similar positions with INGO/ LNGO
  • At least 2 years’ experience with Data and information management systems
  • A minimum 2 years’ experience with Local or International NGOs in similar position
  • Provide evidence in data analysis experience using MS tools (specially access and PBI)
  • Experience in data collection tools and troubleshooting.
  • Provide evidence of previous experience with database management
  • Experience in data visualization, infographic.

Job Description:

  • Update and maintain project databases to record essential program data throughout the implementation cycle, which align with Country office protocols and central IM function within MEAL department.
  • Conduct periodic reviews, analysis and quality assurance on collected information for WASH projects and discuss with field staff and WASH Deputy Manager/ WASH Manager to improve the quality and reliability of information.
  • Work with MEAL team on behalf of the WASH sector to develop templates and formats for field data collection and documenting project outputs and activities.
  • Coordinate with WASH teams to ensure appropriate information is being collected and adequately managed. Train teams in data collection methodologies and approaches as necessary.
  • Ensure staff are aware of the org’s information sharing and data security protocols and ensure programmatic adherence to these protocols – including regular field visits to see tools in action.
  • Support MEAL department in collate information when needed captured through assessments, surveys, beneficiary interviews, beneficiary distribution lists into high quality, actionable program insights related to WASH – especially for emergency and humanitarian programming.
  • Ensure smooth and timely data reconciliation and updating ‘Reconciliation databases’ on regular basis with MEAL Department IM Officer.
  • Review the data entered in databases regularly in order to locate and fix data entry errors.
  • Review and check project-related data such as number of beneficiaries reached, disaggregating the data along established categories, follow up on discrepancies of information to understand the reasons.
  • Ensure that distribution lists and other relevant WASH documents are filed, archived, and are backed up as soft copies into Shared drive folder linked with the main database, when the data is collected through smartphones or scanned when hard copies.
  • Design analysis templates for the regular data collected such as PDMs, DMs etc.
  • Develop information products (maps, infographics, etc) to display data collected and ensure high quality reporting with support from MEAL Department
  • Provide reports both internally (PIIRS, grant review meetings, WASH team updates for decision-making, activity Trackers), and externally (4Ws, rapid response mechanisms, donors, other ad hoc IM requests related to WASH) as advised by the WASH Deputy PM.

JOB SUMMARY

The WASH Officer (Information Management) will work under the supervision of the Deputy WASH Manager on the overall data management of WASH-related activities, to ensure excellent reporting, timely tracking of activities, and will enable adaptive management within the project cycle. The role will be the focal point for the WASH team on the implementation, operation, maintenance, support of and training on project management information systems. The role will be to work closely with the MEAL department to ensure cooperation and separation of duties, and feed into the Country Office level data management and reporting as requested by the MEAL Manager and IM Officer.

The IMO is expected to work cooperatively with the WASH team, and independently manage their workload on data entry validation, updates, modifications, import, export, queries, analysis, database maintenance, visualization, IM reports, 4Ws, and filing (soft copy). It is expected that high quality information, reporting, and visualization will be delivered as an integral part of the role – with clear coordination and cooperation with the WASH WG and other stakeholders, as directed by the WASH Program Manager.
