  • Minimum 3 years’ experience in not-for-profit organization in complex emergency environments, ideally in the Syrian context.

Job Description:

  • Maintain grants information and track donors and other stakeholder requirements. This includes supervision of processes to maintain updated central grants files/information in both hard and soft copies and ensuring timely compliance with these. Management and ownership of grants tracker for across the NES grants.
  • Ensure that all project documents both for the org and partners are available at the project kick-off, and updated on a monthly basis, including log frame, detailed implementation plan, MEAL plan, procurement plan, staffing plan.
  • Coordinate grants and sub-awards start-ups and close-outs with (co) facilitation of relevant sessions (budgets, DIPs, action plan, sub-granting, performance monitoring/management systems), including coordination and updating of documentation and grant management tools.
  • Coordinate monthly and ad hoc grant review meetings, take minutes/action points, and ensure that all actions points are addressed by following-up and coordinating closely with both the programs and operations team, and that documentation is updated and relevant.
  • Coordinate timely reporting inputs from program team and partners, consolidate and harmonize, including MEAL and financial data where needed.
  • Support the gathering and development of communication materials (for internal and external use), including photos, stories, case studies, and infographics to present information related to programs and context.
  • Support Program Development and Reporting Manager to produce high quality, engaging, and relevant donor reports and external communications on programming in a timely manner; liaising closely with other teams to ensure good coordination.
  • Assist Grants & Partnership Manager/ PDRM to periodically review partnership strategy documents and capacity building strategies, including development and revision of partnership tools.
  • Identify potential partners in NES, conduct and document initial discussions with potential partners to assess their level of compatibility with the org and triangulating information between multiple sources.
  • Organize and lead in due diligence assessments and reporting that includes analysis of mutual values, principles, governance, structure, accountability, compliance, safety, security and management systems (as per the org Partnership SOP and templates). Engage with Finance, Budgets, Grants and Contract Management in this process.
  • Facilitate the go/no-go process for new partnerships, securing the appropriate documentation and approvals from SMT, liaising with relevant departments in the selection process where necessary.
  • Facilitate call for proposal process for new funding opportunities for partner organizations and roll out an established standard proposal review and evaluation process for field office.
  • Responsible for storage and updating of documentation for all vetted partners. This includes developing partnership databases, preparing partner profiles and document due diligence and OCA assessments.
  • Maintain communication with all partners to ensure consistent relationships, up to date information, and ongoing professionalization.
  • Promote and advocate for partnership approaches in the org programming and coordination mechanisms.
  • Take part in THE ORG Humanitarian Partnerships Community of Practice and maintain new approaches and share innovations.
  • Develop sub-grant monitoring plans in consultation with budget holders and PDRM manager to ensure regular monitoring system established for all sub-grants.
  • Partner monitoring and management – coordinating MEAL and programs team to support and monitor partner activities and monitor and supervise partners in the field on a regular basis.
  • Facilitate the development and regular updating of capacity building work plans based on partner consultation and tailored to each partner’s needs.
  • Coordinate the implementation of capacity building work plans with program managers and program support heads, maintaining up to date records of counterpart efforts in coaching and mentoring provided per partner.
  • Be the focal point to provide a strong link between partner senior management and the org senior management at field office level to ensure solid and supportive relationships.
  • Make relevant contributions to the settlement of partner disputes with the org and the management and close-out of suspected or confirmed mismanagement cases and subsequent partnership termination, if/when relevant.
  • Maintain knowledge and understanding of the org International and the org International in Syria’s Safety and Security policies and procedures as they concern partner organizations.
  • Facilitate Organization Capacity Assessment (OCA) process for selected and potential partners in coordination with relevant departments at field office level.
  • Liaise with team, external providers, and peer organizations to provide learning and coaching opportunities to achieve the goals of the project and the local organization overall. Work with the Program Managers to identify and assist in the identification or recruitment of technical specialists to build partners’ staff capacity.
  • Document progress and resulting changes from capacity development through learning products.
  • Facilitate monthly partner performance reviews and adopt partner development plans to ensure they are appropriate and tailored to partner needs.
