Job Requirements:
- Bachelor Degree or higher in Administrative Management Diploma
- Degree in relevant field or equivalent to parable level of significant relevant professional work experience may be considered in lieu of university degree.
- More than one year of experience of working in similar capacity preferably in international NGO
- Verg good English communication skills both written and verbal
- Proficiency in Arabic both speaking and writing
- Excellent knowledge of word-processing, spreadsheets for database.
- Experience in supervising a small team of housekeeping/cleaning staff.
- Ability to work in a systematic manner with high level of accuracy and attention to detail
- Proven ability to work in a multi-cultural environment

Job Description:
- Assist to ensure proper functioning and maintenance of the office and guesthouses.
- Assist to track of office and guesthouse rental agreements.
- Overseeing the housekeeping and maintenance of the offices and guest house, both inside and outside including monitoring the energy usage and consumption
- Assist to ensure that the office and guesthouse are in compliance with health and environmental standards.
- Assist to ensure that the office is run in a professional and responsible manner including hosting guests, and visitors, guesthouse booking system, cleaning and tidiness of premises.
- Managing and accounting petty cash to meet office petty supplies needs and maintenance with guidance from Finance and Admin team from Hasakeh
- Liaise with IT and/or Logistics for event organization such as meeting, refreshments and necessary equipment
- Assist to maintain appropriate filing systems for administrative correspondence relevant to office and guesthouses including rental and lease agreements.
- Responsible for supplies required for the office and guesthouse including office stationeries and monitor the consumption and usage using proper stock record system.
- Supervise housekeeping staff and ensure they have clear work standard requirements for the cleanliness and tidiness of the office that meet health and safety standards.
- Proactively address performance issues through regular, constructive and honest feedback and coaching.
- Ensure that space, motivation and incentives are provided to staff to develop and innovate.
- In coordination with HR team in Hasakeh, be part of the induction of new staff, Workers, TWs to the Sub Office.
- Responsible for support and administration staff selection, recruitment and disciplinary systems and procedures
- Assist in the process of Sur & Kisrah sub offices staff capacity building, identifying training needs and providing mentoring support where appropriate in liaison with other line managers in Hasakeh.
- Liaise with the HR in Hasakeh for proper handling of receiving and compiling information
- Support in job posting and placing vacancy announcement in approved locations
- Support the HR team on ways to create and maintain good working environment in the office and bring staff wellbeing problems or concerns to the management to address.
- Manage the attendance sheet and coordinate with HR team
- Other tasks as requested by technical line manager
JOB SUMMARY
The role of the Admin/HR Assistant is to support the implementation of human resources and administration function in Sur & Kisrah Offices of Syria North East (NES). The role is also responsible for the management of office facilities to encourage safe, healthy and conducive working environment for all staff.
