Job Requirements:

  • College Degree in English literature, Administration, Management, or relevant field or equivalent combination of education and work experience
  • Excellent ICT knowledge
  • Minimum 6 months of experience in Administration/HR or similar position preferably in international NGO or local associations.
  • Strong knowledge of filing system and record management for hard and digital copies
  • Very good knowledge of word-processing, spreadsheets for database
  • Familiarity with office equipment such as photocopier, scanner etc.
  • Dependable with a respect to confidentiality and policies
  • Excellent organizational skills
  • Ability to work in a systematic and organized manner, with high level of accuracy and attention to detail
  • Fluency in English and Arabic languages (both speaking and writing)
  • Essential knowledge of HR processes, local legislation, procedure and best practices

Job Description:

  • As a key point of contact for receiving, compiling and storing all HR related files, document and written information from other NES offices;
  • Administer the personnel files of all staff and ensure that all the legal compliances and HR good practice documents are available and well documented in a confidential archive such as NES server or other medium in accordance with policies and procedure.
  • Develop and regularly update an effective storage and archive system for HR documentation and personnel files
  • Ensure high level of confidentiality regarding all HR related data, in particular in relations to employee personal data and organization’s classified information are protected and kept in a secured place
  • Proactively identify and discuss opportunities to further utilize existing tools and software to improve electronic handling of HR documentation in order to enhance quality assurance for document control procedures and practices.
  • Assist with writing additional document management policies, processes, and procedures
  • Support HR Officer as a point of contact for advice and support to all staff in Al‐Hasakeh office on all
  • aspects of HR policies and procedures, ensuring staff are aware of their entitlements and procedures that govern the administration of these entitlements.
  • Support HR Officer to ensure that all staff will be familiar with the international code of conduct and other relevant procedures and any infringements of these will be reported to line managers following the agreed
  • procedures.
  • Ensure that all staff receive ID on their first day of employment by coordinating with relevant departments.
  • Ensure that all staff have relevant IT equipment and email access on their first day of employment by coordinating with relevant departments
  • Support HR Officer in recruitment as and when needed (Screening of applications, Scheduling interviews)”.
  • Support HR Department with any other relevant tasks upon the request from line manager
  • Monitor, review, and report any unusual information regarding HR documentation status including, staff personal data, recruitment documentation, staff performance management and appraisal report, leave record and other relevant HR files to the direct line manager.
