LOGISTICS SUPERVISOR

CONTEXT

We are a private, non-profit international medical humanitarian organization dedicated to providing medical assistance to populations in crisis, without discrimination and regardless of race, religion, creed or political affiliation. To support our operations across North East Syria, we are currently looking for the following position:

 

LOGISTICS SUPERVISOR – LEVEL 6

Job Family: Logistics and Supply

Work place: Derik

Contract of Employment: Fixed-Terms-Contract for 12 months, Renewable

Job Purpose:

Supervising the daily logistics activities and providing maintenance to the organization equipment, facilities and infrastructures, according to the organization standards and protocols in order to maintain the facilities in perfect conditions and collaborate in the development of the mission.

Accountabilities

 

•          Monitoring maintenance activities of infrastructures, management of non-medical stocks and equipment according to the organization standards

•          Ensuring the check and follow-up of facilities under the line manager’s supervision through daily visits to the facilities and reporting any anomalies or problems, evaluation of the rehabilitation needs and following up minor building rehabilitation work according to supervisor’s instructions; checking that premises observe security norms and monitoring the consumption of mechanical and electrical vehicles/machines/devices

•          Planning together with the line manager the required checks and maintenance activities of energy systems/set-up according to the organization standards

•          Coordinating and leading the logistics team under his/her responsibility which includes daily supervision, monitoring of the quality of work and the definition of each person’s task, drawing up their working schedules; organizing and leading team meetings; participating in the recruitment of team personnel and attending logistics meetings and accounting for his activities

•          Ensuring the vehicle fleet maintenance which includes planning and overseeing timely preventive and curative maintenance of all project vehicles according to the organization standards and Instructing and monitoring drivers on correct driving habits and standard checks

•          Managing and following up orders which includes collecting logistics orders coming from different departments or health facilities; drawing up and following up orders according to the procedures in force;  providing technical support to the storekeeper, makes local purchases according to the organization supply procedures and ensures reception conditions of freight or arriving material as well as the organization and setting up of materials before its shipment.

·      Supervises all general logistic related activities for Derik Base.

·      Responsible for project managing all Derik Base rehabilitation and construction projects.

·      Responsible for overall physical infrastructure management of facilities in Derik Base that includes international staff residences, office and warehouses.

·      Ensures implementation of Facility Management Toolkit (FMT) across all facilities in Derik Base.

·      Ensures implementation of safety and applied security measures and protocols in all Derik Base premises. Focal point for annual fire safety training and awareness.

·      In liaison with the Logistics Manager, integrate adequate tools in case of emergency/ evacuation and hibernation plan.

·      Responsible for management and safe operation of generators and vehicle fleet in Derik Base (fuel consumption management and reporting, preventive maintenance services, staff training as necessary).

·      Liaise with the mission Mechanic for the services/maintenance of organization vehicle and generators.

·      Managing and follow up on vehicles movements according to relevant SoP, including provision of movement sheets and appropriate means of communications.

 

Staff supervision:

 

1)     Supervisor for drivers, watchmen, handyman/maintenance agent.

2)     With supervisor’s recommendations, organize security briefings/training of the staff under supervision.

3)     Prepare work schedule/rosters for all staff under his supervision.

 

4)     Prepare leave plan for all staff under his supervision

 

5)     Ensure annual evaluations of all staff under his supervision are completed.

 

·      Organize weekly logistics and monthly Drivers and Watchmen meetings. With meeting minutes shared with Logistics Manager.

·      Ensure physical asset inventory system is in place for Derik Base.

·      Responsible for effective management of fuel storage space.

·      Submitting to Logistic Manager overview of monthly fuel maintenance follow up sheet and verifying consumption against LRS reporting.

·      In collaboration with Logistic Manager, responsible for ensuring timely renewal of mission vehicle fleet annual road tax registration or other legal documentations required in NES.

 

Reporting Requirements:

1)   Monthly vehicle and fleet maintenance report.

2)   Updating of Derik Base fuel stock.

3)   LRS reporting for Derik Base (except Supply, ICT and Biomed).

Requirements
Education Essential high school diploma and above.
Experience At least 2 years in a similar post  with INGO
Knowledge Essential computer literacy (word, excel)
Language Mission language essential; local language desirable
