متطلبات العمل:

Education:

  • University degree (bachelor’s degree in business administration, social science or any related field) or equivalent work experience in HR.

Professional Competencies required:

  • At least 1 year of experience in HR administration or a similar field.
  • Very good command of English (speaking, reading, writing).
  • Proficiency in computer applications (MS Word, Excel, Power point).
  • Structured and organized personality.
  • Ability to always ensure confidentiality.
  • High level of integrity.
  • Excellent communication and inter-personal skills with ability to pay attention to detail.
  • Good communication skills and dealing with staff when needed.

الوصف الوظيفي:

Specific responsibilities include:

Payroll:

  • Responsible for initiate monthly payroll and share it with line manager to be checked, besides during the line manager absence or work overload, responsible for creating the salary slips once been approved by the management and finance and share it with finance.
  • Collect and ensure all the extra hours sheets are filled out properly and saved (hard and soft).

Recruiting:

  • In coordination with line manager and respective department line managers participate in preparing the job descriptions and job advertisements and application forms for the new vacancies, and organize the announcement with respective websites, bodies, or platforms.
  • Responsible for the initial screening for the applicants and prepare long list.
  • Approach and set up interviews with shortlisted candidates and inform them with the interview result.
  • If needed and in collaboration with line manager participate in conducting HR interviews with candidates.
  • under the supervision of line manager conduct reference, ATC, and any other necessary/ relevant checks.
  • Ensure the whole recruitment process is saved in cloud properly.

Contacts and onboarding:

  • Prepare employment contracts and acknowledgement of code of conduct and share it with line manager to be checked, as well as the contact amendments and terminations.
  • Ensure the employment contracts and acknowledgement of code of conduct are singed and saved properly as hard and soft copies.
  • In collaboration with line manager explain the necessary policies and procedures, besides do onboarding procedure for the new hirings.

Personal Files:

  • Create a new file for the new hirings, besides ensure that all the personal files are up to date as hard and soft copies.
  • In collaboration with line manager conduct regular general checkups for the personal files.
  • Ensure the safety and confidentiality of the personal files which are rated as highly sensitive documents/ information.

Other tasks:

  • In coordination with line managers follow up, record and document employees’ leaves, and ensure are in line with leave regulation system and under the contractual number of vacations for each team member.
  • If necessary, participate in disciplinary meetings with employees, create and save addressed warnings notifications.
  • Participate in HR related meetings (on behalf of the HR Manager).
  • ensure the confidentiality of all HR related files, meeting, issues …etc.
  • Backup the HR Manager during holiday or in times of high workload.
  • Any other relevant tasks assigned by HR Manager.
