The Opportunity:

Recruitment

  • Responsible for the national staff recruitment process at FO and ensure transparency in the process.
  • Supervise and support the volunteers recruitment process as per guidelines
  • Check references and give regret to unsuccessful candidates
  • Ensure the recruitment files are complete and updated with every recruitment
  • Manage and update the IWs and staff database and the paper work is kept in the files.
  • Contract management of staff and IWs (including  staff contracts, extension, amendments)
  • Organize and ensure Induction for new joiners are completed.
  • Responsible for the new joiners HR induction session in the area FO .
  • Maintain channels of reporting and communication with HR Management in NES and SRO.

Personnel File Management

  • Responsible for maintaining proper documentation and filing(i.e. personnel files (hard and electronic files), timesheets, attendance sheets, overtime, leave requests, etc.)
  • Ensure that all staff have a personnel file
  • Manage the personnel files and ensure they are up to date with all the required documents at all times
  • Ensure confidentiality of the personnel file – assess of files by only the HR Coordinator and any other person needs approval of the HR Director
  • Keep simple personnel files for IWs according to the required activation system .

Payroll Management

  • Prepare and raise Derek Office payroll on a timely manner ensuring accuracy, consistency and as per the requirements and templates outlined by Finance
  • Ensure the filings of national staff payroll are accurate and completed including signed payroll, supporting documents, time sheets and others.

Organizational Development:

  • Work with the Area Manager in the analysis of the staff development needs.
  • Work with the Area Manager to provide staff wellbeing and to maintain staff retention
  • Coordinate with the Area management and line managers in the FO to ensure staff set their objectives and complete their performances reviews in a timely manner and in accordance to the organization Performance Cycle
  • Build the capacity of the HR Assistant by identifying learning needs and developing a plan of action to address the learning needs.

HR Compliance

  • Communicate and ensure that all programme teams have access to the organisation HR tools and resources
  • Provide support to Field HR/Admin staff based other locations and in the field as requested
  • Comply with the organisation policies and practice with respect to child protection, code of conduct, health and safety, equal opportunities and other relevant policies and procedures

In order to be successful you will bring/have:

Essential

  • University graduate.
  • At least 2 years of Experience from working in HR, staff development unit in a humanitarian.
  • Good computer skills in Microsoft office (MS Excel, Word, and outlook)
  • Strong organisational and team work skills
  • Highly approachable, trustworthy and confidential
  • Good diplomacy and negotiation skills
  • Good cultural awareness and sensitivity
  • Able to work in Post-intermediate to advance English (written/spoken)
  • Able to work in Post-intermediate to advance Arabic (written/spoken)

Desirable

  • Knowledge of the organisation values and principles
  • Staff management skills.
