Job Requirements:

Required Experience/qualification/Skills:

  • Degree in pharmacy /or Pharmacist technician
  • 1-2 years of professional experience in managing medical stock on private or governmental sector (private pharmacy, MOH Structure) is preferred.
  • Good level computer literacy and proven knowledge in Excel and spread sheets.
  • Personal qualities: Works well in and promotes teamwork, comfortable in a multi-cultural environment, flexible and able to handle pressure well.
  • Fluency in Arabic, English is an advantage.

Job Description:

The Pharmaceutical Warehouse Assistant will be responsible for the receipt, storage and distribution of drugs, medical supplies and equipment to IRC supported health facilities and mobile team. Manage the IRC central pharmacy according to Global Supply Chain Pharmaceutical Warehouse manual Jun 2020. This position reports to pharmaceutical warehouse Officer.

Position objectives:

  • Assisting in the day to day operations of the Pharmaceutical warehouse duties.
  • Check, record and put away goods received, under the supervision of the Pharma Ware house officer.
  • Assisting in inventory levels (physical counts), and system inventory.

Responsibilities:

General:

Ensure the warehouse is properly maintained and clean and that storage conditions are suitable for drugs according to GSC Pharmaceutical Warehouse management manual June 2020 keeping in view the humidity and temperature controls.

  • Assist the physical inventories
  • Sending the store releases to the different health structures (packing, transport…)
  • Support the drug delivery system in all IRC supported clinics.
  • Support to order reception

Receipt and storage of goods:

  • Check the number of packages against the waybill check packaging and cases and inform the Pharma Warehouse Officer, and supply chain coordinator. of any problems (missing or damaged goods, wrong items, etc.)After receipt, immediately update the stock cards, recording the reference number of the receipt document, and put the goods away.
  • Ensure that all items are well organised and correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).
  • Store all products in accordance with FEFO (first expiry first out) system

Request and inventory management:

  • Preparing outgoing items (Monthly order to the policlinics)
  • Ensure that the shipping areas (by destination) are clearly identified; store goods on shelves or palettes (as necessary), in a clean, tidy and easily accessible manner.
  • Pack (appropriately for the mode of transport chosen), weigh and label freight (destination, number of shipping units, way bill number, weight and mode of transport) and assign a shipping number to each package, in accordance with the instructions of the line manager. PACKING LIST AND WAYBILL DONE BY SUPPLY, SO PROVIDE DATA ON PARCEL NUMBERS AND CONTENT

Stock management and administration:

  • Assist in monthly inventory conducting of drugs, supplies and equipment and report to the Pharma WH Officer, and Supply Chain Manager.
  • Assist in Cycle count 100% in the end of Financial year, and the cycle count 20% every two months.
  • Perform other duties as requested by the pharma Warehouse officer, and supply chain Manager in accordance with the position
  • Ensure that all necessary information is correctly and fully recorded on the stock cards: batch number, expiry date, date of receipt or delivery, stock balance (incoming/outgoing), receipt and delivery document reference numbers.
  • Computerized stock managemnet and complete all the tables for monitoring stock movements and the pharma inventory tools (PIT).
  • Assist the line manager with preparation of the monthly stock report.
  • In conjunction with the line manager, perform physical stock counts in accordance with the frequency
  • Inform the line manager when the stock of goods is nearing the minimum or maximum threshold, and regularly provide the line manager with a list of the items with expiry dates within the next six months.
  • Monitor the temperature of the central pharma warehouse including freezers and refrigerators twice a day and ensure that products requiring cold chain (vaccines) are always stored at a suitable temperature (between +2°C and +8°C).
  • Maintain a temperature tracking log.
  • Manage disposal of expired or damaged goods in accordance with the Pharmaceutical Warehouse management manual and classification the items with the form of reception from the facility.

Reporting:

  • Prepare a weekly report of movements of goods (incoming/outgoing) in the warehouse.
  • Produce monthly reports on the stocks of drugs and medical supplies, detailing all stock movements.
  • Immediately inform the line manager of any problems arising in the course of the work, particularly regarding damage, loss, attempted break-ins or theft in the warehouse.

Other duties as assigned by the supervisor to enable and develop IRC programs

Staff Performance Management, Learning & Development

  • Hire, supervise, and build the capacity of team members in relevant technical and management competencies.
  • Develop and implement remote management capacity building approaches to build the strengths the teams teams in Syria.
  • Coach, train, supervise and mentor direct-report staff, including communicating clear expectations, setting annual performance objectives, providing regular and timely positive and constructive performance feedback, and providing documented semi-annual performance reviews.
  • Maintain open and professional relations with team members, promoting a strong team spirit and providing oversight and guidance to enable staff to successfully perform in their positions.
  • Approve and manage time, attendance and leave requests to ensure adequate departmental coverage; ensure monthly, accurate timesheet submission and carry out probationary reviews.
  • Hold high-quality meetings with each direct report on a regular and predictable basis, minimally on a monthly basis.
  • Provide a measurable development plan including on-the-job learning with the aim of strengthening technical capacity, exchanging knowledge within the team and providing guidance on career paths.
  • As required, identify staff performance issues and work with Human Resources to document and address these in accordance with the National Staff Employment Policies.
  • Maintain open and professional relations with team members, promoting a strong team spirit and providing oversight and guidance to enable staff to successfully perform in their positions.
  • Promote and monitor staff care and well-being. Model healthy work-life balance practices. Support appropriate interventions in response to identified staff care needs of both national and international staff.
  • Look for opportunities to support staff in their career growth, where appropriate. As part of succession plan and nationalization goals, identify, train and develop capability and capacity of national staff to successfully transition role and responsibilities, by the end of assignment.
