  • Minimum 1 year of experience in Human Resources within an International NGO will be preferable
  • Ability to write and speak in English
  • Microsoft Office software and computer literate
  • Ability to work under pressure
  • Excellent interpersonal, organizational, and time management skills
  • Ability to maintain to strict confidentiality and keep safe personal file

الوصف الوظيفي:

The HR Assistant will be responsible for the recruitment of vacant positions at Twehiniyah camp, managing all individual personal file, updating leave tracker at Twehiniyah camp with providing weekly/monthly updates related to payroll to supervisor.

The role reports to HR Officer

Team member reporting to this post: N/A

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

KEY AREAS OF ACCOUNTABLITY

  • Establish and maintain personnel files (hard and soft) for Twehiniyah team members including service contractor, casual and daily labors.
  • Tracking timesheets, leave balances, daily attendance sheet through sharing the template on monthly basis with the individual/s and supervisor, updating leave tracker sheet, provide spot check on weekly/monthly basis on timesheet and report any issue/error to supervisor.
  • Provide support in the recruitment process, i.e. vacancy announcement, prepare longlist as per supervisor’s instruction, scheduling interviews and/or written tests, participate in interviews, prepare candidate summary report, prepare job offer and contract
  • Briefing new individuals on HR policies and procedures and assist line managers in preparing induction schedules for new joiners with related departments
  • Preparing monthly payroll for service contractor and casual daily labors and provide updates on weekly basis to supervisor.
  • Preparing and conducting background check for new joiners
  • Share updated Local National Staff List (LNS) on weekly and monthly basis with supervisor and upload it to designated location in one drive

Additional job responsibilities

  • Cover for Mahmoudly or other location’s HR person during the absence of the individual based on supervisor’s approval
  • In coordination with supervisor/Erbil HR, create or renew all individuals Blumont ID on yearly basis or when and as needed
  • Support line managers in the performance appraisal process through reviewing the team’s performance appraisal forms with providing specific report on that regard to the supervisor.
  • Support the recruitment process of the Daily Labors on monthly basis by checking the database, scanning documents, and arranging interview (if required as per daily labor SOP), completing the vetting (SAM, UN and VC), and requesting/preparing contracts.
  • Any other reasonably duty as assigned by supervisor
